Questions to ask an NDIS plan manager before you sign up
Questions you should ask when looking for a Plan Manager
By LifeFul · Originally published 17 January 2024
What participants should ask in the first conversation
Start with your actual needs: “How will you explain my spending to me?” “What do I do if I do not recognise an invoice?” “Who tells me when payment is delayed?” Ask for an example of the process, rather than accepting a fast-payment promise without its conditions.
Ask what work is included in plan management services and what needs another kind of support. Plan management handles the financial administration of funding; it is not the same as organising every service in your plan. Read the NDIA explanation of the role.

From our specialisation in Plan Management and Support Coordination, we've expanded our services into Therapies and Daily Living supports, giving you the opportunity to skip the hassle of coordinating with multiple organisations.
Most of the time, you will want to connect with a provider easily and quickly, so that you can begin utilising your NDIS Plan and achieving your goals. This is particularly true of Plan Managers.
After all, for plan-managed participants, Plan Managers perform a vital function that ensures providers are paid – meaning you need to choose one before you begin using those services.
Simply, you want a Plan Manager in place right as you start your NDIS journey. But what should you expect from a good Plan Manager? And what can you ask them to aid your decision?
To save you time and effort, we’ve compiled a list of easy-to-ask questions that will give you insight into whether a Plan Manager might be suitable for you.
Let’s go!
How quickly should a Plan Manager pay invoices?
Knowing how quickly your Plan Manager can take care of your invoices and how consistent they are with their timing is key.
Most Plan Managers take 2-5 business days to process invoices, but a select few can do it within 24 hours and pay not long after. This makes a big difference for providers, as they know exactly when they’ll be paid after completing a service with you. Before everything else, Plan Managers are there to manage plans, to smoothen the process, and to minimise the effort of coordinating and following up from your end, so they need to do this well.
[Clickability update, September 2026: These timeframes are not a universal guarantee. Ask how the provider handles invoice errors, approvals and delayed claims, and when its stated turnaround begins. See the NDIA plan-manager guide.]
What does a participant-centred approach look like?
It’s important to process payments quickly, but Plan Managers need to do much more than just make transactions. Ideally, Plan Managers should provide a personal and individualised service to suit your unique needs. This means no third parties, such as call centres! Good Plan Managers take the time to know your plan but great Plan Managers take the time to know you.
[Clickability update, September 2026: This is the contributor’s preference. A central contact team does not by itself establish poor service. Assess whether the provider communicates accessibly and resolves your concerns.]
Should a Plan Manager help you track your spending?
Plan Managers need to be clear with their process and payment timeframes, but they also need to empower you to access and monitor your funding, whether through an app you can access on your own, by taking the initiative to regularly reach out and discuss your spending with you, or both. This is to ensure you can prevent overspending while still maximising the resources available to you, and so you know the funds of your NDIS Plan are going to the right places.
What does good communication look like?
Good communication is all about having the right channel, the right frequency, and the right outcome.
Participants have a range of disabilities, so it’s essential that you can contact Plan Managers in the way you prefer, whether via email, a phone call, or text message. This could also include an app or online chat function. But it’s also more than the means. Whenever you contact a Plan Manager, you should feel like you’ve been listened to.
Do you want more than just Plan Management?
Many organisations offer more than just Plan Management services. This can make it easier for participants, so you can have a one-stop shop for services. For example, you might also want Support Coordination, Daily Living supports, or one of the various forms of Therapy. Having all your supports being catered by a single provider can have a number of benefits so consider all the services you need and take the time to decide whether it’s better for you to go with one business or several.
And that’s it! Ask these of any Plan Manager, use their responses to gauge if they’re right for you, lock them in, and start your NDIS journey.

For coordinators: help the person keep the decision theirs
With permission, help the participant prepare questions in their preferred format and record answers they want to compare. Check that the contact process works for them, not only for the other professionals involved.
Does a plan manager have to arrange all my other providers?
Plan management is financial administration. Ask what the provider’s service includes and distinguish it from support coordination. Official guidance
Should I use all services from one organisation?
That is a choice to assess against your needs. Ask about connections, conflicts, alternatives and whether you remain free to choose other providers. Official guidance
